Information Protection

The last layer of protection acts directly on the data

As soon as data leaves the controlled environment, perimeter-based protection measures fail. Information Protection applies protection directly to the file, regardless of where it is located or who opens it.

What Information Protection actually does and how it works.

The basis is data classification: every file, every email, every document is assigned a confidentiality level manually by the user or automatically by the system, which recognizes content according to defined patterns. Credit card numbers, AHV numbers, internal contract documents - the system knows what is sensitive.

Protection guidelines are applied on the basis of this classification: Encryption is automatically applied, forwarding is blocked, printing options are restricted. A file classified as "Confidential" remains encrypted even if it is sent by email to the wrong person or stored in a public cloud repository. The recipient without authorization only sees unreadable text.

The technical basis is Microsoft Purview Information Protection, integrated in Microsoft 365. Classifications follow the document in Word, Excel, Outlook, Teams and SharePoint in equal measure.

Data loss prevention

Not every data loss is an attack, but every one is a problem.

Data Loss Prevention (DLP) detects and prevents sensitive information from leaving the company uncontrolled, regardless of whether it is a targeted attack or a human error. An employee sending a customer list to the wrong email address causes the same regulatory damage as an external attacker.

DLP guidelines define what information is allowed to leave the company and under what conditions. If a breach is detected, for example an email with an IBAN number sent to an external address, the system takes action: the action is blocked, the user is informed and the incident is logged.

This logging is not a by-product - it is a central element for compliance verification and FINMA audits. Every policy violation, every blocked action, every manual exception is documented and can be analyzed.

Insider Threats & Anomaly Detection

The biggest data protection threat is often within your own company.

Insider threats are not uncommon - and they are more difficult to detect than external attacks because the user has legitimate access. Microsoft Purview Insider Risk Management analyzes behavior patterns: An employee who downloads an unusually large number of files shortly before leaving. Someone who suddenly accesses data areas that are outside their normal work area. Mass release of internal documents to external addresses.
These signals are not evaluated in isolation, but in context in combination with HR data, access logs and activity patterns. Escalation occurs automatically at defined thresholds.
We configure, operate and monitor this layer and ensure that policies and detection rules remain up to date. Because data protection incidents rarely announce themselves.

Audit & traceability

Who opened, changed or passed on which file and when?

Information protection without auditability is incomplete. Protection policies prevent many incidents, but not all. What happens afterwards? Microsoft Purview Audit logs access, changes, releases and deletions at file level across all Microsoft 365 services. Exchange, SharePoint, Teams, OneDrive: every relevant action is recorded and can be analyzed.
In an emergency, for example in the event of a data protection incident or a regulatory audit, it is possible to reconstruct everything from start to finish: Which file was affected? Who had access? What was done with it? This evidence is not only relevant for FINMA audits, but also for the internal processing of incidents and the fulfillment of information obligations under data protection law (DPA, GDPR).
We set up the audit configuration so that the right events are recorded, the retention periods are set correctly and the logs are protected against subsequent manipulation. Because a log that can be manipulated is worthless in case of doubt.
